Purpose of post and key relationships
As the Database Manager, you will be in charge of transforming our data management. Our members are at the heart of everything we do.
Working within the Fundraising, Communications and Retail team, and alongside our IT Manager, you will lead on maintaining, then upgrading and developing our systems, so that we can improve members’ experience, raise income, and communicate with them effectively.
This will enable us to go boldly into the future, confident that we can make our members proud to belong to our mission to overcome inequality through activism, advocacy and practical action.
For this new post, we are looking for someone experienced at managing a large membership and fundraising database at a time of transition. Our current system is Open Engage (but we are looking to move to a new system in 2022). Eventually we will be integrating with our e-campaigning and marketing platform, dot digital.
You will oversee the processing and maintenance of membership and supporter data, while supporting other teams, and regional volunteer data processors. You will lead on reporting and analysis requests, ensuring all stakeholders have access to, and can interpret, membership and supporter data for fundraising and communications activities.
Main duties and responsibilities
Develop and establish organisational ways of working with the CRM. Lead on training staff and volunteer administrators, develop user manuals to highlight good practice. Be responsible for monitoring usage.
Ensure all member and supporter data is held and processed in accordance with agreed protocols and GDPR. Keep updated about technological and regulatory changes.
Be the main point of contact for data, including reporting and analysis queries internally, designing and preparing reports for management, and other key users.
Lead on ensuring data accuracy. Perform periodic audits and checks to confirm data status. Work with the Membership Team, Fundraising Team and volunteer data administrators to ensure updates are applied. This will involve ensuring all engagement, response and consent is correctly loaded and imported between systems.
Manage the data flows between Dot Digital and Open Engage to ensure both platforms accurately reflect current, recent and historical activity and outcomes. Import and export data to and from the databases in accordance with agreed protocols and security procedures, checking regularly for any issues or problems with their accuracy and efficiency.
Produce selections in accordance with internal and external briefs as required, liaising with the Individual Giving Manager and the fundraising and communications team, to coordinate workload and agree scheduling.
Liaise with members of the Fundraising and Finance teams over coding donations appropriately, completing the monthly reconciliations and investigating any discrepancies as required.
Support the Donor Care Officer to provide exemplary member and supporter care, quickly resolving any data queries relating to individuals and responding to incoming enquiries when additional resource is needed.
Provide support to regional volunteer data leads to ensure data is correctly recorded and updated, in line with the Charity’s data architecture, this will include proactive training videos as well as reactive responses to queries.
Monitor regular giving and support the fundraising team to identify new active, and lapsed donors to contact for Welcome, Conversion, Upgrade and Reactivation.
Apply data cleansing and enhancement lists to supporter data to aid selection and segmentation for campaigns.
Problem-solve when required and propose improvements to data systems and processes to help us manage data more efficiently and effectively, and increase our knowledge of and ability to communicate with supporters.
Work closely with the IT Manager to recommend, develop and apply appropriate new tools, systems, integrations and updates to ensure we are using the CRM as effectively as possible, and liaise with external suppliers and consultants to ensure any changes are implemented smoothly.
Develop a comprehensive understanding of integrations between the CRM and other systems and software. Work in partnership with the internal owners of such systems and software to resolve issues when they arise.
Work with the SLT and IT Manager on developing a long term data architecture approach for the movement, to help guide the development of future internal practice and systems, including a replacement CRM.
Experience and Knowledge
Experience of managing fundraising and/or membership databases at a sole-charge and/or senior level, such as Open Engage or similar, with the ability to complete a broad range of database-related tasks with accuracy and speed.
Knowledge of confidentiality and data protection, including the General Data Protection Regulation and relevant income processing regulations.
Experience of setting up and maintaining effective database systems, including administering user groups and access permissions, and managing complex importing and exporting.
Experience of building segmentations and data selections to enhance supporter experience and support the delivery of offline mailings and e-communications.
Experience in analysing and interpreting data sets, drawing out actionable insights to optimise engagement and financial results.
A methodical approach to data projects, with experience working within a framework (PRINCE2, Agile, ISO etc.) Ability to manage multiple priorities concurrently, demonstrating flexibility and commitment to deliver to agreed schedules.
A proven ability to identify problems or shortcomings in relation to existing systems and processes, and to update or modify working methods or functionality to increase efficiency and user experience
Experience of managing relationships with software providers and external consultants.
Experience of the third sector and working with volunteers highly desirable.
Ability to foster positive relationships across all levels of the movement.
Good communication skills with the ability to translate technical knowledge and understanding into clear information, advice, and training for users with diverse skill levels.
Ability to record and interpret information accurately, withvery good attention to detail.
A collaborative approach to understanding user requirements and solving issues.
An enthusiasm for CRM and data and able to convince others of the importance and benefits of these tools in building and managing the organisations relationships.
A passion for continual improvement and the ability to provide measurable input into new products, processes, standards or operational plans in support of our strategy.
Ability to work on your own and within a team environment.
Strong time management skills, with an ability to prioritise and plan whilst retaining a keen attention to detail.
This role is primarily based at our head office in Central London. However, due to the current restrictions on movement, home working option is temporarily made available.
